How to start a group booking

You have two easy ways to kick things off:

What you can bundle into your group package

Group bookings aren’t limited to accommodation. When you submit your request, let the team know if you’re interested in any of the following:
  • Airport or port transfers for the full group
  • Private chef or catering services
  • Yacht or boat charter
  • Pool heating or additional equipment
  • Welcome packs, decorations, or event styling
  • Concierge services (restaurant bookings, beach club access, guided experiences)
Bundling extras into a single group package is often more cost-effective than arranging them separately — and it means you only deal with one invoice and one point of contact.

Cancellation terms for groups

Group bookings are subject to separate cancellation terms that differ from the standard individual booking policy. These terms will be clearly stated in your official group quotation before you confirm.
Read the group cancellation terms carefully before making your down payment. Because group reservations typically involve higher-value properties and longer lead times, the conditions are stricter than standard bookings — partial cancellations and date reductions are treated similarly to a cancellation.
If you need to reduce the size of your group after confirming, treat this as a potential partial cancellation and contact the team immediately to understand the implications.

Managing your guest list

After your group booking is confirmed, changes to guest names or numbers are subject to an administration fee.
Submit all guest name and number changes as early as possible. Last-minute amendments during high season can be difficult to process in time, and fees apply regardless of when the change is made.

Maximum occupancy — no exceptions

Every property has a clearly stated maximum occupancy. For group bookings, this limit is enforced strictly:
  • Exceeding the maximum occupancy results in a penalty of €100 per extra guest, per night, charged by the property owner.
  • Guests not listed on your booking are not permitted on the property at any time — this includes daytime visitors.
Make sure your confirmed guest count matches the number of people who will actually be on the property. If your numbers grow after booking, contact the team before arrival to explore options.

Stag and hen parties — strictly prohibited

Stag and hen parties are strictly and unconditionally prohibited across every LeibTour property. This rule applies to all bookings, without exception. Any reservation found to involve a stag or hen party — regardless of how it was described at the time of booking — will be cancelled immediately and cancellation penalties will be applied in full. Do not attempt to book under a different description.

Tips for coordinating a large group

Organising a 10+ person trip involves a lot of moving parts. A few things that help:
Designate one person as the primary contact for all communication with LeibTour. Multiple people sending different requests or queries causes confusion and slows things down. The coordinator should be the person whose name is on the reservation.
You’ll need names and, in some cases, passport or ID details for all guests. Start collecting these as soon as your booking is confirmed — chasing 15 people for their passport numbers the week before check-in is nobody’s idea of fun.
Large groups rarely arrive on a single transfer. Make sure everyone knows the check-in time and the procedure for latecomers. If you’re bundling transfers into your package, share the schedule with the whole group early.
Your voucher will include the property’s house rules. Share these with your entire group before arrival so everyone knows what’s expected — noise curfews, pool hours, smoking rules, and guest access policies all apply to the full group, not just the lead name.
